Buy a standard ERP, customize it or build something of your own? Often the smartest answer is none of the three: a custom module next to the ERP.
If you search for ERP software in Austria, you mostly find vendor lists. The more important question rarely appears next to them: How much of your processes is really standard, and where does your company differ?
The selection is large, from international suites to industry solutions from Austria. Still, the decision usually comes down to three options: buy standard, customize standard or build something of your own. The smartest answer is often none of the three.
Because it’s exactly at the line between standard and special that the path is decided. And whether your ERP project becomes a tool or a permanent construction site.
When standard is the right answer
An ERP models what works the same in many companies: accounting, purchasing, inventory, order processing. For these processes, standard isn’t the cheap option, it is the right one.
You get proven workflows, ongoing development, legal updates and a vendor that carries the system for years. If standard software covers your case, buy it. We say that even as a company that builds custom software.
So the mistake isn’t buying standard. The mistake is expecting standard to cover what makes your company unique.
The expensive middle: bending the ERP
It gets difficult in the middle: when the ERP basically fits but one core process does not. The reflex is to customize the ERP until it does.
The problem is not the ERP. It is structural: every deep customization has to survive every future update. Over the years, one customization becomes many. At some point, nobody dares touch the system anymore.
There is a point where customizing becomes more expensive than building something of your own next to it. Recognizing that point in time is the real art.
The path in between: a custom module next to the ERP
You do not have to replace your ERP to get a process it cannot do. The often smarter path: a custom module next to the ERP, cleanly connected via interfaces.
The ERP stays the leading system for everything that is standard. The module takes over the special part: the process that sets you apart from your competition, the analysis no standard knows, the AI component that does not exist off the shelf.
Technically, the seams are decisive: the interfaces between ERP, identity and existing systems. These integrations are where such projects die when they are built sloppily. Built cleanly, nobody in daily work notices that two systems are running here.
For your internal IT this is not a loss of control, quite the opposite: it knows the ERP and the company, an external team adds speed and delivery power. Projects like this work with IT, not around it.
Integration beats replacement. A complete ERP switch is rarely the first step. Usually it is the last, when everything else has been exhausted.
An example from the construction industry
What this looks like is shown by a project from our work for the construction industry. The problem: in early project phases, it is decided whether a construction project is economically viable. Exactly then, a serious cost estimate takes the most effort: weeks of expert work, repeated for every variant.
The solution was not a new standard system but custom software: an AI-supported estimation system delivers a solid early-phase estimate in around 20 minutes. Behind it sits enterprise cost controlling that carries the estimate across the entire project, from the first draft to final billing.
The core of it: the system carries the company’s costing know-how, its data, rules and experience. Exactly that is what no standard can deliver. Only the company itself has this knowledge.
So what was built was not a replacement for everything, but the module that makes the difference for the business: the costing. That is exactly the pattern. Invest where your knowledge sits.
The question behind the question
Searching for “ERP software Austria” leads to vendor selection. The more important decision comes before that: What belongs in the ERP, and what belongs next to it?
Standard for what is the same everywhere. Custom for what sets you apart. Draw that line cleanly, and you will rarely need the big reset later.
